This policy covers our website, business enquiries, tools and services. We are the controller of personal information we use for our own business relationships, account administration, billing and security.
When we handle personal information on a customer’s instructions to produce content, operate accounts or deliver a campaign, our role is governed by the applicable data-processing agreement. Where we act as a processor, the customer’s privacy information explains their purposes and legal basis; we assist them with their data-protection obligations.
Information we handle
The information involved depends on the features and services you use:
- Contact and business details: your name, work email, organisation, role, booking information, enquiries, instructions and support correspondence.
- Account and transaction records: organisation membership, authentication and access records, selected services, invoices, payment status and transaction references. Payment providers handle the payment details you enter into their checkout.
- Content and production materials: videos, images, audio, voices, likenesses, prompts, scripts, captions, briefs, approvals and outputs. These can include personal information about people appearing in the content.
- Publishing and campaign information: social-account identifiers, profile details, authorised access credentials or tokens, account status, publication records, post links and performance information.
- Technical information: IP address, browser and device information, requests, errors and logs needed to provide, protect and troubleshoot the service.
We receive information from you, authorised members of your organisation, connected services and providers involved in bookings, payments or service delivery. Campaign work can also involve information from public posts and social profiles.
Some information is necessary to provide the service: for example, contact details to administer an account, or content and account permissions to publish. Without it, we may be unable to fulfil the relevant request. Optional information will be identified as optional where we ask for it.
Why we use it
For activities where we are the controller, we use the following legal bases:
- Enquiries, proposals and bookings: taking steps at your request before a contract, or our legitimate interest in responding to business contacts and discussing our services.
- Accounts, delivery and support: performing a contract with you, or our legitimate interest in fulfilling a contract with the organisation you represent.
- Billing, refunds and records: performing a contract, meeting tax and accounting obligations, and our legitimate interest in maintaining accurate transaction records.
- Security, performance and troubleshooting: our legitimate interest in protecting accounts, preventing misuse, measuring website performance and improving the service, and legal obligations where applicable. Where consent is required for a measurement technology, we rely on consent.
- Service communications and marketing: performing our service obligations, or our legitimate interest in communicating relevant business information where the law permits it. Where consent is required, we rely on that consent. You can opt out of direct marketing.
- Legal requests and disputes: complying with legal obligations and our legitimate interest in establishing, exercising or defending legal claims.
When relying on legitimate interests, we consider the impact on your rights and interests. Customer information we process on a customer’s behalf is handled under their documented instructions and the applicable data-processing terms.
Local tools and hosted services
Tools expressly labelled as running on your device process the selected media in your browser without uploading that media to EntireFeed for processing. Loading the page still makes normal network requests. Some tools download software or model files, so the hosts of those resources receive normal request information such as your IP address.
Downloaded models may be cached in your browser to avoid downloading them again. You can remove that cache through your browser’s site-data controls. Exports you save remain in the location you choose.
Hosted workflows, creative production and publishing are different: the content and instructions needed to deliver them are sent to the relevant systems, service providers and authorised personnel. The local-processing description of a browser tool does not apply to those services.
When you instruct us to publish content, it becomes available to the selected platform and audience. Other people may copy or share it. Deleting our copy does not remove copies held independently by platforms or their users.
International processing
Service delivery can involve providers, personnel or platforms outside the UK and European Economic Area, including in the countries selected for a campaign.
Where a transfer is restricted by UK or EU data-protection law, an applicable lawful transfer mechanism is required. Depending on the destination and recipient, this may be an adequacy decision or approved contractual safeguards with any necessary additional protections. Contact us for information about the destinations and safeguards relevant to your information, including how to obtain a copy of applicable safeguards.
How long we keep information
We keep information for the purpose it was collected for, taking account of the service, legal recordkeeping duties, unresolved issues and security needs. The criteria depend on the type of record:
- Business enquiries and correspondence are kept while needed to respond, manage the relationship and maintain necessary business records.
- Account, content and campaign records are kept for delivery, support and agreed service obligations, including any minimum-view extension and refund assessment, subject to the applicable contract and data-processing terms.
- Invoices and transaction records are kept for applicable tax, accounting and legal requirements.
- Security and troubleshooting records are kept for the relevant investigation, prevention or operational purpose.
For customer information processed on instructions, the data-processing agreement governs return and deletion when services end. Any legally required records and permitted isolated backups are handled under that agreement and applicable law. They are not a reason to keep using information for an unrelated purpose.
Contact us to request deletion or details of the retention criteria applying to your information. Files stored on your device, and copies independently held by social platforms or other recipients, are subject to their own controls.
Security and sensitive information
We use measures appropriate to the risks of the processing, including controls over access, credentials and information handling. No system can eliminate every security risk. Please keep your account credentials secure and contact us promptly if you believe an account or personal information has been compromised.
Only provide information and content you are authorised to share. Do not submit special-category information, such as health information or biometric data used to identify someone, or criminal-offence information without prior written agreement on the purpose and appropriate safeguards.
Your rights and choices
Depending on the applicable law and our basis for processing, you may have rights to access, correct, erase, restrict or receive a portable copy of your personal information, and to object to processing. You can withdraw consent where processing relies on consent; this does not affect the lawfulness of processing before withdrawal.
You can object to direct marketing at any time by contacting us or using an unsubscribe option provided with the message.
Send requests to dionysis@entirefeed.com. We may need reasonable information to verify your identity and locate the relevant records. We will respond within the period required by applicable law. If we process the information on behalf of a customer, we may refer your request to that controller and assist them under our agreement.
You may complain to the UK Information Commissioner’s Office or your relevant local data-protection authority. You do not have to contact us first to exercise that right.
Children’s information
EntireFeed’s business services are intended for adults and are not directed at children. Contact us if you believe a child has provided personal information to us without appropriate authorisation.
If a customer’s content includes children, the customer must have the necessary permissions, legal basis and safeguards for that content and the proposed use before submitting it.
Changes to this policy
We may update this policy as our services or legal obligations change. We will identify the updated version and provide additional notice or obtain consent where required. This notice does not replace a customer’s data-processing agreement or create permission to use information without a valid legal basis.
